How to choose the best school ERP software in India
A plain guide for principals and school owners: what to ask, what to check in a demo, and how to compare plans, whichever vendor you choose.
Ask these before you sign anything
Use the same questions with every vendor, including us.
- 1
Does it match my board?
Ask to see classes, sections, subjects and grading set up for your board (CBSE, ICSE or your state board), not a generic international template. Schools that run two boards need both in one system.
- 2
Who will use it every day?
A school ERP only works if teachers, the front office, accountants and parents all use it. Ask for each role's screen and check that a teacher can mark attendance in under a minute.
- 3
Is there a parent app, and does it work on cheap phones?
Most parent communication now happens on phones. Check the app on a mid-range Android phone, and confirm that notices, fee payment and attendance alerts are all in it.
- 4
How are fees collected and reconciled?
Look for online payment with UPI, card and net banking, automatic receipts, reminders for pending dues, and a way to match payments to invoices without manual spreadsheets.
- 5
Can we bring our existing data?
Ask how students, parents, staff and fee records are imported from Excel, and who does it. A system you have to type in from scratch can take weeks.
- 6
What does onboarding and support look like?
Ask for the set-up guide, the support channels and who answers when something breaks on a fee day. Support you can reach matters more than a long feature list.
- 7
How is each person's access controlled?
A teacher should see only their classes, a parent only their own child. Ask how roles and permissions work and whether there is an audit trail of who changed what.
- 8
What happens to our data?
Ask who owns it, how backups are done, how you can export it and what happens if you leave. Your student records are yours.
- 9
Does it cover transport and the gate?
If you run buses, check route and fee management, GPS tracking for parents and the safety of pick-up. Ask how a child is handed over at the gate.
- 10
Can it grow with us?
Check that a second campus, a hostel or a new module can be added without changing platforms or re-entering data.
- 11
How is pricing structured?
Ask what the price depends on (students, modules, campuses), what is extra, and whether you can start small. Compare the total for the modules you will really use.
- 12
Can we try it first?
A good vendor shows a demo around your own questions. Bring real situations: a part payment, a transfer certificate, a teacher on leave.
Five things to test yourself
Do not just watch. Ask the vendor to do these with your own examples.
Mark attendance for a class and see the parent alert
Create a fee plan, generate invoices and record a part payment
Enter marks and produce a report card
Add a student, link a parent and see what the parent sees
Look at the reports a principal would open on Monday morning
Every Indian board, day or residential
Classes, sections, subjects and grading are set up to match your board. Day schools, residential schools and day plus residential schools all use the same platform, with hostel features switched on only where needed.

Common questions from school owners
What is the best school ERP software in India?
The best school ERP is the one that fits your board, your size and the people who will use it every day. Compare vendors on board support, parent app, fee collection, onboarding and support, data ownership and pricing, and ask each to demonstrate your own situations. The 12 questions on this page are a checklist for that comparison.
How much does school ERP software cost in India?
Prices vary by vendor and depend on the number of students, the modules you use and the number of campuses. Ask every vendor for an itemised quote for the modules you will really use, and ask what is extra. Penpulse plans are flexible and shaped around your school; request a demo for a quote.
How long does it take to set up a school ERP?
It depends on your size and how ready your data is. Penpulse's onboarding manual estimates about 4 to 6 hours of set-up for a school under 200 students, 6 to 8 hours for 200 to 800 students, and about a day for larger schools, plus follow-ups.
Do small schools need an ERP?
If admissions, fees and attendance live in separate registers and spreadsheets, an ERP saves time and reduces fee leakage even for a single small campus. Start with the core modules and add more later.
